About UPdigital

The mission of the University of Porto Digital (UPdigital) is to design, provide and manage Information and Communication Technology (ICT) infrastructures and services at the University of Porto (U.Porto), as well as to encourage the development and use of innovative services.

UPdigital is responsible for ensuring that U.Porto's Constitutive Entities (ECs), organic units and autonomous services receive a standard service in the field of ICT, including a catalogue of services and the respective technical support and consultancy, within the scope of development, management and operation:

  • Information systems;
  • Data centres;
  • Technological infrastructures for data and voice networks;
  • U.Porto's infrastructures and services;
  • IT applications that support the University's activities.

Additional services, including the allocation of human resources under UPdigital's coordination, may be contracted on a permanent or sporadic basis at the request of a EC, by means of an inter-organisational agreement, and financially supported by the requesting EC.

UPdigital will be able to make the most of its human and technical resources through service provision projects within the scope of its competences, with the costs of these services being borne by the entities that request them.

Organisation

Technological Infrastructure Service

It exercises its competencies in IT support, technical infrastructure management, network and telecommunications services, computing and storage services, management of application and computing servers, operating systems and middleware, and database management.

Is responsible for administrating systems and databases that support U.Porto's services and applications.

Its competencies are:

  • Ensuring the planning, implementation, administration, improvement and maintenance of services hosted on U.Porto infrastructures and which form part of the standard offer in the UPdigital catalogue;
  • Administering databases to support U.Porto services and applications;
  • Administering storage services and ensuring backup services, including remote backup services;
  • Ensure interoperability between IT and information systems, avoiding service disruption;
  • Ensure a transversal identity management service aligned with the requirements identified by the Information Security unit and capable of responding to the configuration and provisioning needs of the services of each of the CEs;
  • Implement authentication mechanisms for services, namely strong authentication and federated authentication;
  • Administer and manage services hosted on U.Porto infrastructures;
  • Installing and administering the e-learning and Massive Open Online Courses (MOOC) support platforms used by the Educational Technologies Centre;
  • Ensure appropriate monitoring and alarming services for operation management in the areas and systems intervened on by AOS;
  • Participate in national and international projects/task forces in its areas of intervention to promote the development of innovative services;
  • Maintaining the Service's knowledge base, including technical infrastructure diagrams and equipment registers;
  • Defining standards, technical procedures and conditions of use in the areas within its remit;
  • Maintaining close contact with U.Porto's ECs to find out about needs in their areas of intervention, proposing actions aimed at satisfying them;
  • Defining standards and technical procedures in the areas within its remit;
  • Ensuring the operation and continuity of services identified as critical to the organisation (24x7);
  • Providing adequate planning for the ongoing training of the unit's human resources to guarantee continuity of operation;
  • Carry out any other duties assigned to them by UPdigital management.

It exercises its competencies in IT support for users, the management of exclusively local systems and the development of new services to be provided to U.Porto users.

It aims to provide quality support to users (HelpDesk), manage the IT park, plan the acquisition and maintenance of computers, manage software licences across the U.Porto and manage printing resources.

The coordination of the AI teams is organised by hubs, ensuring close support for users in the CEs.

Its competencies are:

  • Providing ICT support to users as provided for in UPdigital's service catalogue;
  • Managing computer parks, ensuring the planning of the acquisition and maintenance of computers, printing resources and multimedia projectors;
  • Managing classrooms and amphitheatres, providing support for exams held in computer rooms;
  • Managing the unified printing service, ensuring that the service is maintained/available to members and managing the technical assistance contract;
  • Administering the LimeSurvey-based Surveys platform in collaboration with the Systems Administration and Operation team, with the IA being responsible for user management;
  • Managing the collection of software licences and maintenance contracts, as well as software acquisition and licensing processes;
  • Ensuring the registration of resources under its management and providing the technical support necessary for their proper use;
  • Defining technical standards and procedures in the areas within its remit;
  • Providing and maintaining a system of Frequently Asked Questions (FAQ) about the services that UPdigital provides to the U.Porto academic community;
  • Maintaining close contact with U.Porto's ECs to find out about the needs of their areas of intervention, proposing actions and new services to improve efficiency;
  • To disseminate information and good practices in the use of UPdigital's ICT resources and services, ensuring the production of supporting documentation and online content;
  • Disseminating information on the Unit's activities;
  • Carry out any other duties assigned to it by UPdigital's management.

It exercises its competencies in the areas of network and voice infrastructures, in their passive and active components, their security mechanisms, data centres, computing and storage infrastructures and the authentication and authorisation services of the U.Porto.

Its competencies are:

  • Plan, implement and manage passive and active infrastructures for voice, data and video networks in their local area and metropolitan area components;
  • Manage U.Porto's connectivity to the science, technology and society network (RCTS) and other external networks;
  • Managing U.Porto's data centres and equipment hosting services;
  • Plan, implement and manage U.Porto's private computing and storage infrastructure;
  • Ensuring transversal identity, authentication and authorisation services, including robust authentication mechanisms, by the defined requirements.

  • Contributing to the maintenance of UPdigital's knowledge base for the services under the unit's management, namely with technical infrastructure diagrams and equipment registers;

  • Ensuring operation and service continuity (24x7) for technological infrastructures identified as critical to the organisation;
  • Providing adequate planning for the ongoing training of the unit's human resources to guarantee continuity of operation.

  • Participating in national and international projects/task forces in their areas of intervention to promote the development of innovative services;
  • 2nd line helpdesk for the services provided by the Infrastructure and Network Unit;
  • Plan, implement and manage wireless infrastructure;
  • Planning, implementing and managing security equipment (firewalls), implementing access rules and VPN systems;
  • Planning, implementing, monitoring and managing switch and router equipment in the CEs and Data Centre;
  • Carry out necessary troubleshooting within the scope of the infrastructure and network unit;
  • Plan, implement and manage DNS, DHCP and NTP services;
  • Carry out any other duties assigned to it by UPdigital management.

Information Systems Service

It works on the planning, development, implementation and maintenance of information systems, developing them articulated and integrated within the University's application ecosystem, thus providing the technological support necessary for the strategic management of the University's information, monitoring its operation and continuous improvement. It is also active in information heritage, including the implementation of document archives in digital and physical formats and the management of electronic resources to support teaching and research.

It provides specialised support to U.Porto services by using the information system and consultancy on its evolution and best practices.

Its competencies are:

  • Helpdesk support for the Services in using the information system;
  • Profile management and access control to the information system back office;
  • Identifying errors and non-conformities in the code and reporting them to the DI unit;
  • The production of materials to support the use and dissemination of the information system, including the production of news about the system;
  • Data quality control;
  • Auditing the information system;
  • The production of statistics and management support reports;
  • Contributing to the continuous improvement of the University's performance and the identification of new development opportunities through strategic information management;
  • Providing consultancy to Information Services and Managers for the proper use of the information system;
  • Analysing requirements and processes and preparing functional documentation;
  • Producing and updating content on the information system, specifically on new functionalities;
  • Ensuring the information management of the U.Porto information system;
  • Close contact with U.Porto organisations to find out their needs or difficulties, proposing actions to meet them;
  • Promoting good practices and encouraging the use of the system's various modules;
  • Training local teams;
  • Carrying out any other duties assigned to it by the UPdigital Board.

It works in software engineering and information systems, concentrating its activity on the specification, development and maintenance of the U. Porto information system in its multiple administrative/management, teaching and research, and university extension aspects.

Its competencies are:

  • The development of functionalities covering the entire life cycle, from requirements gathering to production delivery.
  • Specifying interoperability mechanisms between systems.
  • Interface design.
  • Defining software architecture.
  • Software development.
  • Software maintenance.
  • Managing software versions and their documentation.
  • Implementing the appropriate technical mechanisms to protect access to and management of the data deposited in the information system, by the applicable regulations.
  • Software quality control, developing and executing test plans duly aligned with requirements and ensuring compliance with applicable standards.
  • Drawing up and managing documentation, including technical documentation and installation manuals.
  • Training technical support and consultancy teams.
  • Carrying out any other duties assigned to it by UPdigital management.

It exercises its competencies in the areas of the University's information heritage.

Its competencies are:

  • Ensuring and promoting access to content and sources of information made available by U.Porto to the academic and scientific community;
  • To manage the information content of the U.Porto Repository in its various aspects, encouraging and supporting its use by the University's constituent entities;
  • Promote the digital preservation of documents;
  • Promote U.Porto's open access policy in line with projects and initiatives of recognised merit;
  • Managing the U.Porto Digital Archive, broadening its scope of intervention and encouraging its use by the University's constituent entities;
  • Promoting interoperability between the different U.Porto information systems to facilitate searches, improve access and increasing the use of the information resources made available by the University;
  • Ensuring support for document management at U.Porto;
  • Designing references to support the organisation and processing of documents to adopt the normative procedures necessary for the digital preservation of U.Porto's documentary heritage;
  • Maintaining and managing the U.Porto Archives, defining rules for its management and ensuring the control of information throughout its life cycle;
  • Drawing up and keeping up-to-date the provisions relating to document retention periods, ensuring that they are applied in conjunction with the U.Porto's CEs;
  • Promoting, ensuring and validating document transfers, guaranteeing the security and long-term preservation of permanently stored information, regardless of the medium on which it is recorded;
  • Ensuring the operation of a request, consultation and research service, observing the requirements of accessibility and communicability of information;
  • Processing, preserving and publicising the bibliographic and iconographic heritage that makes up the University's Old Fund and existing reserved funds;
  • To publicise and extend the activities carried out by the Conservation and Restoration Office and its competences;
  • Supporting U.Porto Libraries, Archives and Museums in the use and acquisition of technological resources and information resources available online;
  • Administration and management of information systems used by libraries, archives, and museums;
  • Research support, including, for example, processing Author Processing Charges (APC) associated with contracts with scientific publishers, analysing access and financial return, and user management);
  • Promote training activities aimed at teachers/researchers in the provision of information and support for publication, namely in open access and the search and retrieval of scientific documents;
  • Promote specific training activities for library staff in the U.Porto ecosystem, namely in identifying relevant scientific journals and analysing metrics for evaluating scientific journals;
  • Supporting the publishing of scientific journals published in the U.Porto ecosystem using the Open Journal System (OJS) platform, including guidance on indexing journals on available platforms, such as Scopus and Web of Science;
  • Represent U.Porto in activities, events and meetings related to the unit's area of activity;
  • Promote events and actions that publicise the information resources and services provided by the Unit;
  • Developing and implementing innovative projects and services in the Unit's fields of intervention, as well as exchanging experiences and good practices between the U.Porto's constituent entities;
  • Ensuring the maintenance and improvement of the Unit's assets;
  • Carry out any other duties assigned to it by the UPdigital Board.

Information Security Unit

It exercises its competences in the fields of identity management and information security.

  • Define normative references in the areas within its remit;
  • Developing and implementing prevention, monitoring, detection, reaction, analysis and correction capabilities to deal with information security incidents;
  • Ensure the U.Porto information security incident response service, CSIRT.UPORTO, with competence for handling and coordinating the response to incidents in the U.Porto infrastructures and systems on a permanent basis, liaising with internal entities and the competent authorities in the field;
  • Ensuring the coordination and harmonisation of procedures relating to identification, authentication and authorisation mechanisms used in U.Porto's systems and infrastructures;
  • Define information security, efficiency and usability requirements for the authentication and access control mechanisms adopted by U.Porto's information systems and infrastructures;
  • Defining security requirements for U.Porto's identity management systems, enabling the efficient integration of access control mechanisms for resources and services;
  • Ensure the custody of cryptographic keys and management of the certification infrastructure for members of the academic community and U.Porto domains;
  • Ensuring the custody and management of super-users and root management keys for the infrastructure and systems used at U.Porto, managing the assignment of top-level permissions to them;
  • Promote the training and qualification of members of the U.Porto academic community in information security;
  • Defining the minimum requirements for computer system audit records (logs) of technological systems and infrastructures, as well as collecting, accessing and processing the information they generate;
  • Monitor the vulnerabilities of U.Porto's systems and infrastructures, conducting active or passive audits for this purpose;
  • Produce regular and preventive indicators on U.Porto's information security;
  • Carrying out physical and logical security audits, assessing the degree of utilisation of the policies and procedures defined or legal regulations in force;
  • Implementing and operating the U.Porto Integrated Information Security Management System;
  • Assisting the Units in drawing up disaster recovery, business continuity and information security plans and consolidating them in the integrated information security management system;
  • Participating in national and international projects/task forces in their areas of intervention to promote the development of innovative services;
  • Carry out any other duties assigned to it by UPdigital's management.

Advisory and Management Control Service

Provides support to UPdigital's management on technical-administrative issues. It plays a crucial role in implementing exemplary practices in project management, controlling budget execution and monitoring UPdigital's financial activity.

  • Promoting the implementation of good practices in UPdigital's project management;
  • Preparing and providing indicator reports to support management and decision-making;
  • Monitoring the service's performance;
  • Producing statistics for institutional reporting;
  • Preparing periodic studies and reports;
  • Supporting the preparation of the activity plan and report;
  • Carrying out the department's budget management tasks;
  • Supporting UPdigital's management in technical-administrative matters;
  • Providing secretarial services;
  • Carry out any other duties assigned to them by UPdigital management.
